Notice About Audio Recording & AI-Assisted Notes

 

To help us provide safe, high-quality care and keep up with increasing documentation requirements from regulatory bodies, our clinic uses secure, in-built tools within our practice management software to assist with writing clinical notes, reports and letters.

How it works

  • With your consent, we may make an audio recording of our clinical conversation during your appointment.

  • Our practice management software uses in-built AI to convert that conversation into draft notes, reports or letters, which Rebecca reviews and finalises.

  • These tools are fully contained within our practice management program. Your information is not sent to external AI platforms (such as ChatGPT) or stored on insecure third-party servers.

Privacy, Security & Cyber Protection

  • Recordings and transcripts are used only to help write your clinical documentation.

  • Once your notes, reports or letters are completed, the recordings and transcripts are automatically deleted and not stored. No copies are kept on our own servers or in external cloud systems.

  • In addition, we maintain strong cybersecurity measures across our computer systems. Our software and security protections are regularly updated and patched, continuously monitored for potential threats, and protected by multiple layers of security controls. These measures are in place to help safeguard your personal and health information at all times.

Your Consent & Your Choice

  • We will always ask for your consent before any recording is made.

  • You are under no obligation to agree, and your care will not be affected if you choose not to be recorded.
